Privacy notice
This explains what SchoolRegistry Ghana does with personal data, under the Data Protection Act, 2012 (Act 843). It covers school owners and staff who sign in. Visitors who only read the site give us no personal data.
What we collect
When you sign in we keep your email address, and your name if you give it or sign in with Google. If you claim a school we also keep your position at the school, and any documents you upload to prove it. We record what you change on a school profile, with the time, so that published information can be traced to a person.
We do not collect passwords, payment details or national identity numbers. If you sign in with Google we receive your name and verified email address from Google and nothing else.
Why, and on what basis
To let you manage a school profile, to check that you are connected to the school, and to keep an honest record of changes. We rely on your consent, which you give when you sign in, and on our legitimate interest in keeping the register accurate and safe from false claims.
What is public
The details you add about the school (fees, facilities, photos, contacts and so on) are shown publicly, labelled as reported by the school. Your own name and email address are not shown on the public site.
If a parent asks a school a question on its page, only the question and the parent's first name are shown, and only after the school has answered it; an email address left for the answer notice is used once, to say the answer is up, and is then deleted.
Who sees it
Our staff, and the services that run the site for us (hosting, and email delivery for sign-in links). We do not sell personal data or use it for advertising.
How long we keep it
For as long as your account is active. Claim documents are kept while the claim is reviewed and deleted afterwards unless a dispute is open. The record of changes to a published profile is kept permanently, but when you delete your account your name and email are removed from it.
Your rights
You can see the data we hold about you, correct it, withdraw your consent and have your account erased. Signed in, you can download your data and delete your account from your dashboard. You can also write to us at data@schoolregistryghana.com. You may complain to the Data Protection Commission of Ghana if you think we have handled your data wrongly.
Where visitors come from
We count page visits and clicks in total, without storing who you are.
For a school with an upgraded page we count visits by device type and by region or country. The region is worked out when the page loads and only its name is kept, as a total. We never store the address. Region lookups use IP geolocation data by DB-IP.com, licensed under CC BY 4.0.
Security
Sign in uses one-time links or Google, never passwords. Sessions use secure cookies that scripts cannot read. Uploaded documents are stored privately and only staff reviewing your claim can open them.
